Basic Rules and Regulations

Animals – Are NOT permitted at the event unless they are service animals or part of the scheduled event.
Badge/Pass Allotments
This policy has been implemented for the purpose of providing security. Badges are required for all personnel before, during and after the show. Badges allotment will be determined on size of booth. Badges will display Exhibiting Company name and are exclusive to Exhibitor Personnel. Badges will be provided prior to the show and at the will call booth.
Booth Set-Up, Tear Down & Signage Guidelines – Only Official Contractors, Exhibitor Appointed Contractors and Exhibiting Personal are permitted on the show floor during move-in, move-out and no one under the age of 18 is permitted on the floor during those times and dates. Exhibitors are not to tear down displays or dismantle exhibit area prior to the end of the show. An identification sign with your company’s name, as shown on your space application form will be provided. The sign is for ID purposes only. No sings, banners, decorations or materials of any nature are to be taped, tacked, secured, fastened or anchored to any building part, wall, pillar, door or window.
Booth Regulations – No amplifiers or loud speakers may be operated in the individual exhibits without prior management approval. . The management of the show is responsible to ensure the overall appeal of the Exhibitors area and has the right to request change or participation if deemed necessary. Non-exhibiting companies may not use booth space jointly with an Exhibitor without prior authorization from Show Management. Exhibitors may not transfer, assign or sublet any of its contracted space without authorization from Show Management. Exhibitors are expected to keep their booth neat, tidy and have authorized personnel in it during the entire show hours at all times.
Compliance with all Laws & Liability Clause- All required governmental permits and licenses are the responsibility of the Exhibitor. Exhibitor shall comply with any rules provided by the owners or management of the show.
Contest/Promotions – Exhibitors must adhere to all applicable laws. Contests must be free of any obligation on the part of the winner. Award and terms of the contest must be clearly stated on each entry form.
Demonstrations – As a matter of safety and courtesy to others, exhibitors should conduct presentations and product demonstrations in a manner which assures all exhibitor personnel and attendees are within the contracted exhibit space and not encroaching on the aisle or neighboring exhibits. It is the responsibility of each exhibitor to arrange displays product presentation and demonstration areas to ensure compliance.
Exhibitor Sales – It is the responsibility of the Exhibitor to have adequate supply of product. Freight doors will not be opened for merchandise pickup during show hours. All demonstrations, advertising, displays, equipment, samples, souvenirs and sales must be contained within the booth area unless previously arranged with the Show Management.
Food Sales/Free Samples/Concessions – Any food or beverage of any size or kind that exhibitor intention is to sell or distribute must be approved and provided in written notice to the Show Management. Free samples need to be approved prior to show by show Management. Premiere Foods is the exclusive food and beverage distributor at the Del Mar Fairgrounds. No food or drinks over the maximum size limit set by the venue may be sold or distributed without written permission from Show Management.
Recreational Vehicles – Del Mar Fairgrounds has overnight RV parking with hook-ups available on a first come, first served basis. For current rates and availability call the Fairgrounds directly at 858-755-1161 Ext. 2894
Security – Although Security personnel are provided 24 hours per day from move-in through move-out, Show Management will not assume any responsibility for any loss due to fire, theft, etc. The Exhibitor shall assume all responsibility. Exhibitor personnel should use locking equipment or remove valuables from the booth nightly.
Tax & License Information – Exhibitors selling goods directly must have a California Seller’s Permit.
Insurance – Show Management is insured against public liability and property damage claims arising out of the conduct of the show. Exhibitors are to seek their own insurance to cover property, shipping, inventory and public liability claims. It is recommended exhibitors insurance is to include accidents, injuries and property damage caused to any persons or property which arise out of an Exhibitors participation or activity in the show.
